Privacy Policy

RecordKeeper - Transcripts

Effective August 5, 2026 · Applies to RecordKeeper for iOS, version 1.0

The short version: your recordings and transcripts stay on your device by default, processed by on-device speech recognition, with no account, sign-up, or network connection required to use the app. Nothing is sent anywhere unless you deliberately turn on an optional cloud feature and supply your own API key to a provider you choose. We don't run analytics, we don't show ads, and we don't have a server that your data passes through.

Data at a glance

Recordings & transcripts Stored only on your device, never uploaded by us
Account or sign-up None — the app has no account system
Analytics & advertising None
Optional cloud transcription / AI analysis Off by default; sent only to a provider you configure with your API key
Face ID Verified by iOS, never leaves your device, never seen by us
Data retention You set the schedule — auto-delete after N days, or off

Information we do not collect

RecordKeeper has no backend server for your content to pass through, no user accounts, and no analytics or advertising SDKs. We do not know who you are, how often you use the app, or what you record. There is nothing for us to sell, because there is nothing that reaches us in the first place.

Audio recordings and transcripts

By default, every recording is transcribed on-device using local speech recognition (WhisperKit) — the audio never leaves your phone or tablet. Recordings, transcripts, and their evidence metadata (a tamper-evident hash of each recording, used to detect if a file has been altered) are stored in the app's local, sandboxed storage on your device.

Long recordings are captured in rolling segments rather than one large file, so an interruption (a phone call, the screen locking, switching apps) doesn't lose the recording in progress. This is a technical detail of how audio is captured, not a data-sharing behavior — segments are stitched back into one transcript locally, on your device.

Optional cloud transcription and AI analysis

You may optionally turn on Cloud mode for transcription, or run an AI analysis against a transcript (for example, to summarize it). Both are off by default and require you to:

When you use either feature, the relevant audio or transcript text is sent directly from your device to the provider you selected, over an encrypted connection. We do not proxy, log, or otherwise see that data at any point — it goes from your device to your chosen provider and back. That provider's own privacy policy and terms govern how they handle what you send them; we'd recommend reviewing those before enabling Cloud or Analysis mode, since we have no control over or visibility into their practices.

External mode

You can also hand a recording off to any other app on your device (via the standard iOS share sheet) to transcribe it elsewhere, and optionally paste the result back in. What happens to the audio once it leaves RecordKeeper in this mode is entirely between you and whatever app you chose to share it with — it's outside our knowledge or control, which is disclosed in the app itself whenever a transcript is brought in this way.

Microphone access

The app requests microphone access solely to record audio you choose to capture. It is only active while you are actively recording — RecordKeeper does not listen in the background or access the microphone at any other time.

Face ID and passcode lock

You can require Face ID (or your device passcode as a fallback) to open the app, to keep your recordings private if someone else picks up your device. This authentication is handled entirely by iOS itself — RecordKeeper never receives, stores, or has any access to your biometric data. We only receive a yes/no result from iOS indicating whether you unlocked successfully.

Receiving audio from other apps

RecordKeeper can accept an audio file shared to it from another app on your device (for example, from the Files app). This uses a small, standard iOS Share Extension that copies the file into a private storage area shared only between RecordKeeper and its extension — it does not read any other data on your device, and does not transmit the file anywhere. The file is then imported the next time you open the main app.

Data retention and deletion

You control how long your recordings are kept. In Settings, you can set an automatic deletion period (for example, 30 days), choose whether that deletes the full recording or just the audio while keeping the transcript, or turn automatic deletion off entirely and manage recordings manually. You can delete any individual recording, its audio, or its transcript at any time from within the app. Uninstalling the app removes all of its locally stored data from your device.

How your data is protected

Children's privacy

RecordKeeper is not directed at children and is not designed to appeal to children. Since the app collects no data on our end regardless of who uses it, there is no children's personal information for us to handle.

Changes to this policy

If this policy changes, the "Effective" date at the top of this page will be updated. Material changes — anything that changes what data leaves your device or how it's handled — will also be reflected in the app's release notes for the version that introduces them.
